With the help of Microsoft 365 Business Premium, you can easily create a business email address using your own domain name. Not only does this make your emails look more professional, but it also offers advanced features like enhanced security and spam protection. In this article, we will provide you with a step-by-step guide on how to create a custom branded email address with Outlook.

Step 1: Purchase Microsoft 365 Business Premium

First, visit the Microsoft 365 website and purchase the ‘Microsoft 365 Business Premium’ subscription plan. This plan is designed specifically to support custom domains. Simply click on the ‘Buy Now’ button and provide your email address and personal information in the subsequent steps.

Step 2: Verify Your Business Phone Number

During the signup process, you will be asked to verify your business phone number. Microsoft gives you the option to receive a verification text message or a phone call.

Step 3: Set Password and Choose Domain Name

After verifying your business phone number, you will be prompted to set a password and choose a domain name for your custom branded email address. Once you have completed this step, you can move on to the next one.

Step 4: Select the Number of Business Premium Accounts

Here, you can choose the number of Microsoft 365 Business Premium accounts that you want to create. Select the appropriate quantity and click on ‘Add payment method’ to proceed.

Step 5: Enter Payment Details and Complete Signup

Now, enter your payment details, including your credit card information, to finalize the signup process. Once you have completed this step, you will be redirected to the Office 365 dashboard.

Step 6: Access the Microsoft 365 Admin Center

In the Office 365 dashboard, you will find various apps and services provided by Microsoft in the left-hand sidebar. Click on the ‘Apps’ option and select ‘Admin’ from the dropdown menu.

Step 7: Set Up Email with a Custom Domain

Within the ‘Microsoft 365 admin center’, choose the option to set up email with a custom domain. A popup window will appear, giving you the choice to use an existing domain or purchase a new one. For the purpose of this tutorial, click on the ‘Use a domain you already own’ button.

Step 8: Follow the Setup Wizard

The setup wizard will guide you through the process of configuring your custom domain with Outlook. Each step provides an overview of the actions that need to be taken. Click on ‘Continue’ to proceed.

Step 9: Verify Domain Ownership

In order to verify domain ownership, you need to add specific information to your domain’s DNS settings. Open a new tab or window in your browser and navigate to your domain’s settings page. Look for the DNS settings option and add the TXT details provided by Microsoft.

Step 10: Verify Domain DNS Settings

Return to the Microsoft Office 365 admin portal and click on the verify button in order to check your domain’s DNS settings. This process may take 5-10 minutes as DNS settings can take some time to update.

Step 11: Add MX, TXT, and CNAME Records

After verifying your domain, you need to add three DNS records to enable email exchange. These records include an MX record, a TXT record, and a CNAME record. Configure these records in your domain’s DNS settings page as instructed by Microsoft.

Step 12: Connect Email and Complete the Setup

Once all the DNS records have been added, go back to the Microsoft Office 365 tab and click on the ‘Connect email’ button. Microsoft will recheck your domain’s DNS settings. Please note that it may take 24-48 hours for the TXT records to be verified. Upon successful verification, a summary of your configuration will be displayed. Close the setup wizard to complete the process.

Step 13: Create Branded Email Addresses

To create branded email addresses, go to your Office 365 dashboard and navigate to ‘Users’ and then ‘Active Users’. Click on ‘Add a user’ to add a new user and provide their personal information. Choose an email address for the user and assign a geographic location and product license. You can further customize additional settings for user profiles according to your preferences.

Congratulations! You have successfully set up a custom branded email address with Outlook. You can now sign in using your new email address and password. Additionally, you have the option to install Office 365 apps on your Mac or PC, including Outlook, to access and manage your branded email address offline.
